Student Handbook

Payment
When you register for a course or certificate program, you incur the cost of tuition. You will not be able to participate until your tuition payment is settled. Please note that unless you officially withdraw as described below, you will still be responsible for all tuition and fee charges associated with the course or certificate program.

Cancellation of Certificate Programs and Courses
All courses are offered contingent upon sufficient enrollment. If a course must be cancelled due to low enrollment, all students will be notified at least three (3) calendar days before the class's start date. All students will receive a 100% tuition refund or tuition credit on their student accounts for upcoming certificates or courses.

Withdrawing from Certificate Programs and Courses
To withdraw from a certificate program or a course, you must use the online My SCS Non-Credit Student Portal.

1. Go to the MYSCS Non-Credit Student Portal
2. Select "Log In to the Non-Credit Student Portal"
3. Log in using your NetID and password.
4. Go to "My Schedule".
5. Select Remove for the course you wish to withdraw from.
6. Click on Confirm.

You will receive an email confirmation of your withdrawal from the course.

Refund Policy, Calculations, and Schedule for Cohort Certificate Programs
Refunds are computed based on the date and time you withdraw through the MYSCS student portal.  

Withdrawals that occur up to three (3) calendar days prior to the start of a cohort certificate program will receive a 100% refund. For example: If a cohort certificate program starts on Friday, close of business on Tuesday (5PM EST) is the latest that a 100% refund will be granted.

Withdrawals that occur 1-2 calendar days prior to the start of a cohort certificate program will receive a 90% refund.

Refund Policy, Calculations, and Schedule for Courses
Refunds are computed based on the date and time you withdraw through the MYSCS student portal.   Refunds for courses are based on the number of class sessions that have met between the time of registration and withdrawal. The refund schedule for cohort, certificate programs, and courses is as follows:

One-day courses:

Withdrawals that occur up to three (3) calendar days prior to the start of a one-day course will receive a 100% refund. For example: If a course starts on Thursday, close of business on Monday (5 PM EST) is the latest that a 100% refund will be granted.

Withdrawals less than three (3) calendar days prior to the start of a one-day course will receive no refund.

2-5 day courses:

Withdrawals that occur up to three (3) calendar days prior to the start of a course with between two and five sessions will receive a 100% refund. For example: If a course starts on Thursday, close of business on Monday (5 PM EST) is the latest that a 100% refund will be granted.

Withdrawals that occur 1-2 calendar days prior to the start of a course with between two and five sessions will receive a 90% refund.

Withdrawals that occur after the first session has taken place, but before the second session has taken place will receive a 50% refund.

Withdrawals that occur after the second session has taken place will receive no refund.

5+ day courses:

Cohort programs are considered 5+ day courses and refunds will be calculated accordingly.

Withdrawals that occur up to three (3) calendar days prior to the start of a course with five or more sessions will receive a 100% refund. For example: If a course starts on Thursday, close of business on Monday (5 PM EST) is the latest that a 100% refund will be granted.

Withdrawals that occur 1-2 calendar days prior to the start of a course with between five or more sessions will receive a 90% refund.

Withdrawals that occur after the first session has taken place, but before the second session has taken place will receive a 70% refund.

Withdrawals that occur after the second session has taken place, but before the third session has taken place will receive a 50% refund.

Withdrawals that occur after the third session has taken place will receive no refund.

Georgetown University reserves the right to adapt this schedule for new course offerings that do not fit into the categories above.

Refund Process

If you paid by credit card or e-check, your account will be credited within five business days.

Students are responsible for observing general University policies and regulations concerning student conduct found on the University website, www.georgetown.edu.

Students with Special Needs
Any student with a disability, whether a physical, psychological, or learning disability, must contact the Academic Resource Center at 202-687-8354 or arc@georgetown.edu and follow the process outlined by ARC for requesting an accommodation. Students should contact the ARC prior to the start of the term. If a request is not submitted on a timely basis, special accommodations are not retroactive, and therefore will not be honored. Georgetown does not discriminate or deny access to an otherwise qualified disabled student on the basis of disability, and students with disabilities may be eligible for reasonable accommodations and/or special services in accordance with the Rehabilitation Act of 1973 and the Americans with Disabilities Act of 1990. However, students are responsible for communicating their special needs to the Academic Resource Center. The University is not responsible for making special accommodations for students who have not requested an accommodation and adequately demonstrated their disabilities. Also, the University need not modify course or degree requirements considered to be an essential requirement of the program of instruction.

Parking

Clarendon Facility Parking
Georgetown University Clarendon Campus is located on the second floor of the Hartford building at 3101 Wilson Boulevard in Arlington, Virginia. Students have access to the building parking garage which is located on Herndon Street and operated by MetroPark Inc.

As the garage has limited spaces, we suggest students arrive early for daytime and evening classes. Most spaces will be self-park but as the garage reaches its capacity, vehicles may be valet-parked by an attendant.

Parking garage rates are as follows:

  • Weekly Daily: Monday through Friday 6:00am to 11:00pm  = $7.00 (Large Vehicle Rate = $12.00)
  • Weeknight (after 5:00pm): Evening rate for Georgetown students = $2.00
  • Weekend: Saturdays 7:30am to 6:00pm rate for Georgetown students = $2.00

Main Campus Parking
Campus parking is available in the Southwest Quad Parking Garage, which is accessible through the Canal Street and Prospect Street entrances to campus. The parking rates in the Southwest Quad Parking Garage are as follows:

  • Weekly Daily = $12.00
  • Weeknight (after 5:00pm): $3.00
  • Weekend = No charge (free)

      CCPE NetID Reset Services for Non-Credit Students:
      Don't Know Your NetID Password?
      If you have forgotten your NetID password, the CCPE NetID Reset Center can create a new password for you.  When you request a password reset, the CCPE NetID Reset Center changes your password to GU+ last six digits of your GUID. The CCPE NetID Reset Center does not have access to your old password.

      A university or government-issued photo ID must be presented for all password reset requests. Staff cannot reset your password without positively verifying your identity with a photo ID. This is University policy and no exceptions are made.

      You can reset your password via fax or email:

      Request a Password Reset by Fax
      If you cannot make it to one of the on-campus reset locations, you can send your request by fax accompanied by a photocopy of your photo ID.

      1. Print and complete the password reset request form.
      2. Make a legible photocopy of your university or government-issued photo ID. Note: Because faxes tend to darken in transmission, we recommend photocopying your ID on a very light setting. Some photocopiers have a "photo setting". If we cannot read the printed text and/ or clearly see the photograph on the faxed photocopy, we cannot complete your request.
      3. Fax both the form and the photocopy to the CCPE NetID Reset Center at 703.812.3810.

      Fax requests are typically completed within one business day. You will be contacted at the phone number or email address you put on the form when it has been completed.

      Note: Your temporary password will expire 72 hours after the reset is complete. Be sure to request a reset at a time when you will have computer access for several days.

      Request a Password Reset by E-mail
      You can also e-mail your request with a scanned or digital picture of your photo ID and e-mail it as an attachment.

      1. Print and fill out the password reset request form.
      2. Scan or take a digital picture of your university or government-issued photo ID.
      3. Attach the image file with the NetID reset form and send to ccpenetid@georgetown.edu.
       
      E-mail requests are typically completed within one business day. You will be contacted at the phone number or e-mail address you indicated in your message when it has been completed. You can also call the CCPE NetID Reset Center after sending your request to complete the reset more quickly over the phone. Call 202-687-7714 after sending your e-mail message.

      Note: Your temporary password will expire 72 hours after the reset is complete. Be sure to request a reset at a time when you will have computer access for several days.

      GU Mail Access
      As a CCPE student you are given a Georgetown University e-mail address (GU mail). However, you do not have an e-mail account from which to receive and send e-mail. You can set up GU mail to have messages forwarded directly to any other e-mail account that you have (e.g. your work e-mail account, Gmail, Hotmail, etc.). Students are advised to set up the forwarding feature of GU mail to remain aware of class updates, announcements, and assignments. To set up the forwarding feature of GU mail, follow these instructions:

      • Go to email.georgetown.edu
      • Under GUMail Account Management, click on Set email delivery options.
      • Click on Set Your E-Mail Delivery.
      • Enter your NetID and password.
      • Select Change Entry.
      • Type in your preferred email address.
      • Click Submit Changes.

      Using Blackboard
      As a CCPE student, you have access to Blackboard, the online academic management program. Some instructors may use Blackboard to distribute course materials, administer tests, or display announcements. To access Blackboard:

      • Go to campus.georgetown.edu. Alternatively, go to Georgetown University’s main website, select "Current Students", and click on "Blackboard".
      • Log in using your NetID and password.
      • You will see a list of CCPE courses that you are currently enrolled in as well as general announcements. By selecting one of the courses listed, you will have access to course assignments, documents, and announcements posted by your instructor.
      • By default, Blackboard sets GU mail as your primary e-mail address. To direct e-mail from Blackboard to another account, please follow the instructions above for forwarding GU mail. It is strongly encouraged that you use GU mail.

      Grades/Transcripts
      MYSCS is the Non-Credit Student web portal that enables you to view unofficial transcripts, request official transcripts, check your schedule, and obtain your Georgetown University ID (GUID). Your GUID is a nine digit number beginning with the number 8 e.g. 898765432. To login to MYSCS:

      • Go to ccpe.georgetown.edu
      • Click MYSCS on the right side of the webpage
      • Click Log In to the Non-Credit Student Portal
      • Login using your Georgetown NetID and password.

      Contact Information
      Please maintain updated contact information to ensure that the University has accurate records by emailing ccpeadmin@georgetown.edu.

      Letter of Academic Record
      If you need a Letter of Academic Record to submit to your employer for reimbursement purposes, please send an e-mail to ccpe@georgetown.edu with the name of the course completed in the subject line.

      Completion of Certificate
      If you have completed the academic requirements for your certificate and have no outstanding financial obligations with the university, please complete the Certificate Request Form.

      Official Transcripts
      Official transcripts must be ordered directly from the registrar's office using the following form: http://registrar.georgetown.edu/transcripts. Once you have completed the form, you will have to print, sign, and submit the form in person, by mail, or fax. Please allow two business days for processing. Transcripts will only be made available by pick-up (with picture ID) or mail. Transcripts may not be faxed. Academic transcripts will not be issued when unsatisfied financial obligations to the University exist.

      Please contact CCPE directly if you have questions about your account balance. For security reasons, CCPE will request your GUID, a unique identifier that proxies your social security number.       Hartford Building Access
      Please note that on Saturday the Hartford Building is open from 7:30am to 1:00pm. After 1:00pm, you will need to use the security phone to access the building. The security phone is located to the left of the main entrance and is operated by Kastle Systems. When you pick up the receiver, you will be connected to an operator who will ask you for the password. The password is "Georgetown University." Alternatively, you can call the receptionist desk at CCPE. The number is (202) 687 - 7000.

          LOCATION AND PARKING

          Where is the Georgetown University Center for Continuing and Professional Education located?

          Where will my classes be held?

          After registering for classes, you will receive an e-mail at least two weeks prior to the start date of class which states the exact location of the class. Most classes are held either at the Hartford Building at 3101 Wilson Blvd., Suite 200, Arlington, VA 22201 or in a building on the main campus.

          Where can I park when I visit CCPE?

          There is a parking garage underneath the Hartford Building.  See above for daily, evening, and weekend parking rates.  There is also metered parking around the building.  

          Is there public transportation to Georgetown University?

          The Center for Continuing and Professional Education (CCPE) is located across the street from the Clarendon Metro Station on the Orange Line.

          Georgetown University also offers a transportation shuttle: the Georgetown University Transportation Shuttle (GUTS). GUTS operates five shuttle routes, connecting the main campus to the Georgetown University Law Center on Capitol Hill, to University offices on Wisconsin Avenue, to Metro stations at Clarendon (Virginia), Rosslyn (Virginia) and Dupont Circle (District of Columbia).           PROGRAMS AND CLASSES

          How Much Work is Required Outside the Classroom?

          CCPE programs usually meet on weeknights and Saturdays, or once a month for two or three consecutive days. Because these programs are not full-time and do not meet more frequently, the time spent in the classroom is very valuable and is improved through intense study of outside readings and projects. Each program varies in the amount of work expected to be done outside the classroom, but they all require following along with specific textbooks, articles and other handouts. Longer certificate programs such as the Leadership Coaching programs can expect capstone projects involving specific fieldwork to be completed by the end of the program.

          How much experience in the particular field is required if a student does not have a degree?

          Although a Bachelor's degree is listed as a requirement for all CCPE programs, this may be waived if a student has a significant amount of work experience in the specific field. These cases are treated on an individual basis and usually discussed directly with the Program Director. A telephone or in person interview may be required and can be arranged through the Program Manager.

          Does CCPE offer any of these programs on evenings or weekends for professionals who cannot miss work? If not, why not?

          CCPE's mission involves helping the working professional transform his/her life and career. CCPE understands the busy lives of our current and prospective students, so most classes are offered on weeknights and Saturdays.

          Some classes, especially in the Organizational Consulting field, are offered during weekdays. These programs are not offered as evening classes because they require longer in-class hours of study in small and large groups not conducive to the shorter evening class format. Most students in these programs are able to miss work because they have agreements with their employers to attend class as a means to enhance their professional skills. Some employers even offer to reimburse the student upon completion of the program. Please read Tuition and Payment: Employer Reimbursement.

          Are these certificates recognized?

          Since 1789 Georgetown University has had a tradition in serving the academic and professional community of Washington, D.C. and its surrounding areas. Georgetown's name is recognizable worldwide as an institution that produces world-class leaders and managers.

          What is the advantage of getting a certificate?

          As mentioned above, Georgetown's name is recognized worldwide for its academic and professional programs. A certificate from Georgetown is a worthwhile investment for the working professional because unlike a full-time post-baccalaureate program, a CCPE certificate allows the student to learn valuable career training even while working full-time and managing busy everyday lives.

          TUITION AND PAYMENT

          What do I do about payment if my employer will reimburse me for classes?

          Many employers now offer tuition reimbursement benefits to their employees based on successful completion of course work. This means that if a student does not successfully complete a course, or for some reasons drops out of a course, the University is not paid. For this reason, any arrangements made between a student and his/her employer for tuition reimbursement or payment are strictly between those two parties. Payment for your student account will still be due upon enrollment and any money that your employer chooses to reimburse will be paid directly to you.

          What do I do about payment if my employer will guarantee payment?

          If your employer guarantees payment for employee training, we will accept a training authorization. This is basically an invoice that tells how much the employer is willing to pay and the address to which the bill for classes should be mailed. Students who have third party sponsorship or training authorizations should turn in their forms with their registration.

          Please submit an Intent to Pay form indicating an employer or other third party should be billed for tuition.  No invoice will be generated without an Intent to Pay form on file.

          How can my employer or sponsor submit tuition payment by credit card once I am registered?

          Please download and submit the Third Party Credit Card Authorization Form to submit payment by credit card after you are registered in a CCPE course.

          What Does CCPE offer in terms of financial aid and/or payment plans?

          Because CCPE programs are non-credit and part-time, Georgetown University does not offer any financial aid to prospective students. Loans and various types of financial assistance are available through a variety of sources. CCPE will gladly provide proof of registration and accreditation, but students are responsible for identifying and securing alternative financial assistance.

          CCPE offers payment plans for certificate programs and course bundles with a total value greater than $4,000.00.  If you are eligible for a payment plan, the tution payment is divided into thirds.  The first payment (equal to 1/3 of total tuition) is due on the date of registration.  The second payment (equal to 1/3 of total tuition) is due approximately mid-way through the course or program.  The final payment (equal to 1/3 of total tuition) is due approximately one week before the course or progam ends.
